At RDS defining service in document management
support means providing you with the document management support that
you need to represent your clients effectively. We can help you convert
case-specific documentation into a useful and manageable format. Our Document
Solutions staff can provide consultation with you to help them make and
implement intelligent litigation support decisions. We provide the knowledge,
experience and procedures to organize, digitize, manage, and disseminate
documents. Our technical staff has experience with most widely used litigation
support database products used in the industry. Pickup and delivery in
the Chicago downtown area can be provided by our professional account
representatives. We also can arrange to have documents shipped from anywhere
in the United States and abroad to our production facilities.

Photocopying
RDS remains committed to servicing our clients' traditional litigation
support needs. With multiple networked Multifunction devices (MFDs)
we can provide rapid turnaround time and meet the most stringent demands
of our clients. RDS provides secured facilities to ensure the protection
and proper handling of our clients' most important documents. Every
copy is checked twice for quality control before being returned. Each
page of the original document is visually checked against the copy
to ensure the highest degree of accuracy. In addition, we can provide
an electronic backup of each photocopy for future use should the need
arise.
RDS has experience in managing large document productions with several
parties in addition to multijurisdiction cases. We can provide a dedicated
repository for a case in which the collection of documents is produced
from numerous sources. From that repository any party may select the documents
they deem pertinent. These documents can then be reproduced into a photocopy
of the original, into an electronic copy or both.

Document Imaging
The fastest growing reproduction method in use today is document scanning.
Our high speed scanners can convert an original document into an electronic
image (TIFF or PDF). These images can then be produced onto CD for
easy storage. Document imaging allows greater access to document collections,
decreases storage costs and avoids the aches and pains of carrying
heavy loads of documents.
Our professional scanners are networked to allow over 100 pages per
minute to be scanned. This provides RDS with the ability to quickly and
efficiently handle productions of any size. In furtherance to our commitment
of quality control, our operators compare each scanned image to the original
document on every project and test load each CD prior to forwarding it
to our clients.

Optical Character Recognition
Optical Character Recognition (OCR) is the process of digitally assigning
a fully searchable text file to the electronic image created during
scanning. OCR provides an inexpensive and highly efficient method
to perform keyword searches of an entire document collection and retrieve
relevant documents in a matter of seconds.

Bates Numbering
RDS can provide either manual Bates numbering to a document or can
assign the Bates number electronically during the scanning process.
The electronic numbering is performed without the risk of corrupting
the integrity of the scanned document by cropping an area for the
Bates number. This process eliminates the possibility of having a
Bates number interfere with any information contained in the original
document.

Coding
Coding is the process of manually populating a select number of agreed-upon
fields assigned to each document. Traditional bibliographic coding
of objective issues like beginning and ending document number, beginning
and ending attachment number, document type, author and recipient
(and cc) of the document can be electronically processed into the
load file needed to populate your database. RDS supports over 25 database
programs including Summation®, Concordance and JFS Litigators
Notebook®.
The assignment of the fields to be coded can be altered to specifically
address issues identified as important to the client. Prior to beginning
the coding process, we will meet with the client to obtain a level of
understanding with respect to the case and those issues that are deemed
relevant in an effort to developing a coding plan that will be most effective
for each particular case. The number and type of fields can be adjusted
to meet the specific needs of the client on a case-by-case basis.

Electronic Discovery
The face of litigation is evolving. To meet the growing needs of our
clients, RDS is committed to offering electronic discovery which allows
us to provide our clients with the ability to review and often undermined,
collection of electronic data customarily produced in word processing
and email programs in an efficient manner. The documents can be collected
in their original digital format, fully coded into a searchable database.
One significant advantage of electronic discovery is the ability to
view the documents produced from opposing parties in their original
format, even deleted emails, complete with attachments. This process
provides insight into the issues in the case that is often quite different
from the traditional methods of reviewing produced documentation.
